Open Cosmos is revolutionising the way space technology is used and is at the forefront of the emerging new space industry. Our mission is to make space accessible to anyone, to help solve the world's biggest challenges. We do this by providing simple and affordable space missions, using nanosatellite technology, providing end to end space missions for customers around the world (private and institutional). We work with some of the biggest names in the industry, including the European Space Agency (ESA), but also with small and innovative high-tech companies, together developing the space technology and applications of the future.

Description of the Position

You will be joining Open Cosmos’ team in Harwell-Oxford (UK) and will be responsible for providing administrative support to senior OC team members and our CEO in a professional, efficient and confidential manner. Duties are highly confidential and requires a  broad and comprehensive knowledge of the organisation’s procedures and practices. Responsibilities require discretion, judgement, tact, poise and the ability to prioritise, prepare correspondences, and research highly confidential materials and issues.

Tasks and responsibilities  

  • Manage the report's workload, acting as the gatekeeper and follow up meetings, external contacts and ideas for new business

  • Inbox management

  • Represent the senior team members by reviewing correspondence, coordinating meetings and welcoming visitors to the building

  • Meetings, dinners and other functions; answering questions and meeting requests directed to the senior team members

  • Conserve senior team members’ time by reading, researching and routing correspondence

  • Draft letters and documents; collect and analyse information; initiate communications

  • Manage correspondence and deal with enquiries that do not require a senior team members’ direct response, but can be answered on their behalf

  • Arrange meetings, and prepare itineraries and agendas; schedule travel and arrange accommodation 

  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining the cooperation of others, monitoring progress, problem-solving and making adjustments to plans

  • Evaluate and redesign processes and implementing changes where necessary

  • Take minutes as and when requested

  • Offer operational assistance with our larger external events, assisting with set up and clear down

  • Complete KPI reporting on behalf of the senior team members


Skills, attitude and experience  

  • Experience in arranging national and international travel including visas.

  • Complex multi-diary management and scheduling in Google Suite

  • Effective and clear written and spoken communication skills

  • Ability to see areas for process improvement and the skills to implement

  • Strong decision-making skills

  • Understanding and experience of handling sensitive and confidential information using the utmost discretion

  • Excellent organizational and administrative skills

  • Excellent attention to detail with a proactive approach to workload

Nice to have 

  • Fluent English, Spanish and where possible French and Catalan

  • Existing network and relationships in the space industry, startup community and government

  • International experience

  • Experience working for a CEO and Exec members

  • Experience in a scaling up workforce/expansion period
